Not every detail has to be final. What a Private Label Hair Care Manufacturer Needs for a Quote
Start with the product as a customer would experience it, not with a vague label such as “premium serum” or “professional hair mist.” State the category, texture or format, how it is applied, where it fits in the routine, and the main reason it exists in the range. A lightweight leave-in serum, a scalp-focused spray, a fragrance mist, and a rinse-off mask create very different formula and packaging questions even when all four are called hair care.

Then show the complete SKU structure. One 100 ml product with one label is not the same project as one base formula sold in three fragrances, two sizes, and two language versions. Each variation can affect sampling, packaging sourcing, printing, artwork, filling instructions, and minimum quantities.

Separate must-haves from preferences
A request becomes much easier to quote when the supplier can see what cannot change. “Must be a fine mist” is different from “we like this bottle shape.” “No added color” is different from “a clear formula would be nice.” Marking requirements as required, preferred, optional, or open to recommendation prevents a visual preference from quietly becoming an expensive technical specification.


A useful one-sentence brief

“We are developing a lightweight leave-in serum for e-commerce, 30–50 ml, applied in small amounts through the lengths, with a clean non-greasy finish. We prefer a dropper but are open to another controlled dispenser if compatibility or MOQ is better.”


Use product references to explain format, not to copy a product
References are most useful when each one has a purpose. A product photo may show the spray style, bottle proportion, dropper, label area, or carton presentation. Write down what you want the supplier to learn from the reference so the formula, packaging, and artwork are not all assumed to be identical.

Know Which Decisions Can Change the Quote Most
Not every unanswered question has the same commercial impact. A final Pantone color can often wait. A major change in formula route, packaging, SKU count, decoration, or quantity usually cannot. If time is limited, resolve the decisions that can change the physical product or the production setup first.

This is also a useful way to decide whether you are ready to request pricing. You do not need final artwork or a finished formula to begin, but you should be able to describe the intended product well enough that two suppliers would quote roughly the same scope.

Choose the Formula Route Before Comparing Prices
A final formula does not need to exist before the first quotation, but the development route should be clear. Otherwise, one supplier may price an existing base with small changes while another assumes full development. The numbers look comparable even though the work is not.

Describe what people can actually observe
Words such as “luxury,” “natural,” or “stronger” are hard to formulate against. For a leave-in serum, describe spread, absorption, residue, shine, weight, and after-feel. For a mist, describe spray distribution, wetness, fragrance intensity, and dry feel. The sample can then be judged against visible or sensory criteria instead of a vague impression.

The same applies to revisions. “Reduce the heavy after-feel without changing the application method” gives a clear target. “The fragrance feels too strong during application but acceptable after drying” is more useful than “make it lighter.” Specific feedback shortens the distance between sample rounds.


Keep ingredients and claims in separate lists

An ingredient preference does not automatically support a marketing claim. List required ingredients, preferred ingredients, exclusions, and open choices separately from proposed claims. Treatment, disease, guaranteed regrowth, or other medical-style wording may require a different route depending on the product and destination, so it should be confirmed before it becomes part of final artwork.




Treat the Formula and Packaging as One System
Packaging can change a quotation as much as the formula. A bottle is only one part of the system: closure, pump or sprayer, seal, decoration, label, carton, and filling method can all affect cost and feasibility. The most useful brief separates the package that touches the formula from the retail presentation and the shipping configuration.

Describe the dispensing experience before choosing a component
A broad fine mist, a directed scalp spray, a controlled pump, and a dropper create different application patterns. Tell the manufacturer how much product should come out, where it is applied, how much control the user needs, and whether the product is used occasionally or repeatedly. A component that looks attractive can still be wrong if it produces large droplets, too much product, poor grip, leakage, or an output that does not suit the formula.

Do not let “custom packaging” hide several different costs
A “custom bottle” may mean a standard bottle with a label, a colored component, direct printing, coating, frosting, metallic detail, or a genuinely custom component. These options do not have the same setup, minimum quantity, artwork needs, or lead time. State the appearance you want and let the quote show the practical routes.

The same principle applies to artwork. Brand identity, creative design, dieline placement, print adaptation, prepress checking, and final printing are different services. If artwork is not finished, say what exists now and what support is actually required.


Practical rule

If you are unsure about material or bottle type, describe the required result first: clear or opaque, matte or glossy, light or substantial, broad spray or targeted application, label or direct print. This gives the supplier room to propose a workable component instead of forcing an unsuitable one.




Show Quantity by SKU and Ask What the MOQ Really Applies To
A combined project total can hide small production runs. A 10,000-unit project divided into five fragrances, two sizes, and two label versions may be much more complex than one 10,000-unit SKU. Show the expected quantity for each SKU, the first order total, and any realistic repeat-order estimate.

This distinction matters because a supplier may be able to manufacture the formula at one quantity but require a larger order for a custom bottle or printed carton. If a lower-quantity option uses a different package or decoration route, the quotation should show that change instead of presenting it as a pure volume discount.

Give each sample stage one job
“Samples” can mean very different things. A category sample checks the general direction. A formula sample checks texture, fragrance, appearance, and application. A packaging sample checks the component. A printed proof checks artwork and decoration. Compatibility review checks the formula and selected package together. A pre-production unit checks the approved finished configuration.

For each sample round, agree on what is being judged, who consolidates feedback, and what counts as approval. That is more useful than asking for an undefined number of free revisions.



Name the First Market, Label Language, and Document Needs Early
“Global launch” is not a useful first-market instruction. The destination affects label planning, claims, responsible-party information, document requests, and sometimes the product route itself. Name the first country or region, then list future markets separately. It is usually easier to build a clear first version and expand than to overload the first package with every possible future requirement.

Label language also affects artwork space and SKU structure. State whether the first launch uses one language, several languages on one label, or separate market versions. If translation, regulatory review, or artwork checking is handled by another party, make that responsibility visible before final design begins.

Ask for documents by purpose, not by saying “send all certificates”
Document availability can depend on the final formula, package, production stage, destination, and requested service. A better RFQ asks what is available for product identity, quality and production, technical or testing needs, market preparation, and logistics—and when each item becomes available.

A realistic project plan should show the target arrival date plus the decisions that come before it: formula approval, packaging approval, artwork approval, final specification, order confirmation, production, and shipping. This makes delays visible while there is still time to change the plan.

Compare Quotations on the Same Product Definition
The lowest unit price is not automatically the lowest project cost. One quotation may include formula samples, custom decoration, individual cartons, document support, and setup. Another may show only filling and basic packaging. Before comparing totals, confirm that both quotes describe the same physical product and the same service scope.

To protect our customer’s commercial confidentiality, all brand names, marketplace identities, geographic details and selected business information in this case study have been withheld or generalized.

An international e-commerce customer began working with KINODIN by launching one private label cotton hair-building fiber on a major online marketplace. Designing a Fiber and Applicator Kit That Worked Together
Adding an applicator to a fiber bottle is not only a packaging decision.

The applicator must be compatible with:

A generic applicator may connect to a bottle but still release fibers unevenly or become blocked. KINODIN tested the applicator with the selected bottle and actual fibers.

Extending the Second Brand into Hairline Powder
After establishing the fiber and applicator kit, the customer expanded the Bundle-Led Brand into hairline powder.

To preserve differentiation, this version included a brush rather than relying only on a conventional sponge or puff.

The brush supported:

Creating a Third Brand for Price-Sensitive Consumers
The customer later identified another consumer segment: buyers who wanted reliable hair coverage at a lower entry price.

Instead of reducing the price of the established Core Brand and weakening its position, the customer created a separate Value Brand.

Excessive discounting of the original brand could have:

The Value Brand allowed the customer to reach price-sensitive consumers without changing the positioning of its other brands.

Its first product was a single bottle of cotton hair-building fibers with a straightforward product proposition, competitive pricing and a separate visual identity. The retail price was positioned below the Core Brand while manufacturing quality remained controlled.



Adding 4 g and 10 g Hairline Powders
After launching the value-positioned cotton fiber, the customer expanded the third brand into hairline powder.

KINODIN developed two filling sizes:


4 g compact hairline powder
10 g larger-capacity hairline powder

The 4 g version supported portability, an accessible retail price and first-time purchasing. The 10 g version provided more product for frequent users and created a higher-value option within the same brand.

The packaging direction considered successful conventions in the international hairline powder category, while KINODIN created an independent identity for the customer.

The design process covered compact shape, product capacity, application method, mirror placement, powder pickup, packaging colors, logo position, retail readability and visual separation from the customer’s other brands.
